Project Overview

Our client, a global payments firm is seeking an Administrative Officer to fill in for a maternity cover. This will be a 6-months contract, starting from Mid-July.


The role is based in Singapore, 3-days a week in the office.


Scope of Work

  • Provide day-to-day administrative support to the Finance team during a maternity leave coverage period.
  • Generate and distribute reports from the accounting system to support month-end close activities.
  • Review documentation for completeness and accuracy prior to approval and execution.
  • Validate documents against the latest approval matrix to ensure the correct approvers are identified.
  • Coordinate document routing and follow up with stakeholders to obtain timely approvals.
  • Ensure all documentation and approval processes comply with established SOPs and internal governance requirements.
  • Maintain accurate records and filing of finance-related documents.
  • Support ad hoc administrative and operational tasks as assigned by the Finance team.
  • Prioritize and manage multiple requests with turnaround times typically ranging from 1–2 business days.
  • Work closely with finance stakeholders to ensure smooth execution of administrative processes and timely completion of deliverables.


Requirements

  • 1–3 years of experience in an administrative, finance support, operations, or coordinator role.
  • Highly detail-oriented with the ability to review documents accurately and identify discrepancies.
  • Strong organizational skills with the ability to manage multiple tasks and meet tight turnaround times.
  • Experience working with approval workflows, documentation, or SOP-driven processes is an advantage.
  • Comfortable coordinating with multiple stakeholders to obtain approvals and resolve documentation issues.
  • Proficient in Microsoft Excel, Word, and Outlook; experience with accounting or ERP systems is a plus.
  • Strong written and verbal communication skills.
  • Able to work independently while following established processes and governance requirements.
  • Reliable, proactive, and able to maintain confidentiality when handling sensitive financial documents.
  • Must be based in Singapore and able to work from the office at least three days per week.
